Our Data Migration Process

Needs Analysis

This no-obligation step might seem like a no-brainer but it’s fundamental to establishing a scalable and predictable plan. To kick off the data migration process, Edly will provide a team of experts including a DevOps Engineer, a Sales Specialist, a Product Engineer, and a member of our Product Team to scope out your data structure, your business objectives, and compatibility with the system you’re migrating to.

Data Access and Qualification

Once we’ve taken the time to understand your goals, the next step will be to begin accessing your current platform and data. If your system requires account creation or VPN access, we’ll work with you on creating those credentials. If you’re migrating data from an LMS other than Open edX, we may also bring in members of our Course Authoring and/or Instructional Design teams to determine whether to directly import the content or if recreating it in Open edX Studio is a better option. This auditing process typically takes 1-2 weeks.

Content and Data Migration

The step you’ve been waiting for: watching the data move from your current system to your new solution. During this step, we’re ensuring that the data structures are properly reflected on your new system. If needed, this is also when we will be recreating content in Open edX Studio and/or migrating your course content (e.g. images, videos, PDFs, text, etc.) to your new system. After the data is migrated, we will also perform smoke tests, regression tests, and quality assurance on all the migrated data.

User Acceptance Testing

Now it’s time to hand the new system over to you and to mutually identify any issues with the platform such as missing content, bugs or platform behavior issues. This step is critical to ensuring that the data is meeting your expectations. At this stage, your dedicated Account Manager will help you coordinate with the migration team to resolve any issues, ensure your bugs are reported and track your tickets to completion.

Learners’ Data

The most valuable data on your old platform is learners’ data. Learner demographics, user roles, and profile information help you understand not just your target audience but also the value created by your course content in their lives. Migrate everything related to your learners’ profiles without any second thoughts.

Course Content

Creating compelling course content is difficult, costly, and time-consuming. When migrating to a new LMS, move everything related to your courses such as content, assignments, quizzes, tests, discussions, and activities to avoid starting from scratch. SCORM packages and exported Open edX content can be ported from your LMS to ours and tested for compatibility and usability before being opened for your users.

User Roles

Don’t want to set up user roles or create groups again on the new LMS? Don’t fret. Simply migrate information on user roles and groups from your old platform. The relationship between your users, permissions, and groups will be maintained.

Course History

Beyond learner data and course content, the most critical data in your LMS are the records of your users’ interactions with those courses: users’ progress on courses, submissions and responses, and records of certification and completion can all be segmented and migrated to your new LMS through our expert data migration services.
